Committee Descriptions:
30th Anniversary Celebration – First State Chapter: Plan and coordinate the anniversary celebration sometime in 2009. Invite current and past members FSC members, and members of the DE-MD-DC Division.
Administrative Professionals Week/Day – Plan and coordinate an APW celebration including location, speaker, food, invitations, recertification points if eligible topic, etc.
Arrangements – Reserve meeting space for monthly meetings. Receive RSVPs, call in food order, send roster of attendees (members in alpha order by last name).
Audit – Review and audit the financial activity of the chapter at the end of the IAAP year, when there is a change in Treasurer, or at the request of the Chapter Board.
Bylaws and Standing Rules – Review, update and present proposed changes to the membership annually. Keep the membership and the Board informed of proposed changes to the Division and International Bylaws and Standing Rules.
Certification – Share information with the Members regarding certification and recertification, examinations and study materials and study groups. Coordinate study group(s) as needed.
Civic – Keep members informed and involved in various civic projects benefiting the community. Community outreach covering a wide variety of projects.
Fundraising – Find fundraising activities and projects to meet the financial needs of the chapter to include funding for the annual scholarship, money for special events such as APW or Bosses’ Day, etc.
Historian – Safekeeping of the photos, memorabilia, minutes and other important materials and historical data for the Chapter.
IAAP Student Program – Plan a program for high school and college students who are aspiring/studying for a career as an administrative professional or business administration. This program will take place during one of our regular monthly meetings. The topic, speaker and location will be selected by the committee, advertised students and our members. Traditionally, this program has taken place in March, but can take place at any time during the year.
Member of the Year – Select an active chapter member that best meets the criteria set forth by the Committee. The award is presented during the June chapter meeting.
Membership – Brainstorm and introduce innovate ideas and suggestions to increase awareness of FSC/IAAP, provide membership information to first time visitors, formulate a plan to retain current members. Contact area Members at Large and invite them to join our chapter. Plan annual new member orientation and IMPACT meeting. Monitor membership expirations and offer the 3-month payment plan. Keep Chapter Roster updated. Print and send materials on at least a monthly basis to members who do not have a computer to keep them informed of chapter activities and events. Remind chapter members of pending renewals, transfer to merited status when retiring, etc. Update chapter brochure at least annually.
Nominations – Identify and seek qualified candidates to fill chapter officer positions.
Parliamentary Advisor – Keep officers and members informed about parliamentary procedure during meetings. Advise Board of proper procedures following Roberts Rules’ of Order as needed.
Point Schedule – April 16 – April 15 keep track of member activities and attendance – document attendance at chapter meetings, keep mtg. announcement and other papers as back up documentation to submit to Division as/if necessary. Remind and encourage members to track and provide back up for job training, workshops, seminars and courses completed. Conduct a point schedule meeting at least one week before the chapter report is due to the Division Secretary in April.
Professional Development – Secure speakers for monthly meetings (except December, April and June). Apply for recertification points for meetings as appropriate. Topics and speakers for most meetings should be eligible for recertification points (speaking for one hour = 1 recertification point).
Publicity – Write articles for the chapter website, media, PSAs, Division Dialogue, etc. Provide photos as appropriate. Provide articles and photos to chapter historian and webmaster.
Retirement Trust Foundation – Keep chapter members informed of RTF updates and find creative ways to raise/collect funds to send to Division RTF Chair annually.
Scholarship – Update scholarship documents and criteria as recommended by committee members. Communicate with area high schools and colleges, sending the scholarship packet by email or U.S. Mail in January/February annually (or earlier in the school year). Meet with committee in March or early April and determine winner. Notify winner and ask to attend APW event and announce winner. Timelines can be earlier, but not later than the suggested dates.
Webmaster/Newsletter – Update chapter website once a month or as needed, adding and deleting items to keep information fresh and relevant. Use items/articles and photos provided by Publicity Committee, chapter members and others.
